Flowcharts - What They Are and How to Use Them

Many of us use flowcharts in our daily work - indeed the creation and deployment of a flowchart is one of the most common tasks in business today.  But what do we mean by a flowchart, and what is it supposed to do?

Well, flowcharts can be used to analyze, design, document or manage a process in a wide variety of fields.  Examples could include a Recruitment or Accounting process, the logical procedure within a piece of software, or a process in an organization such as Health & Safety, Equal Opportunities, Conciliation & Arbitration or Social Services.  There are several derivatives of the basic flowchart including the Workflow Diagram,

A flowchart could be defined as a pictorial representation of a process in which the steps are symbolized by shapes - in other words a diagram that explains the steps in a procedure.    Each shape should link to its neighbour by a connector line, and often these have arrow heads to describe the direction of flow.

Each flowchart should ideally begin with a Terminator shape, from which the next step should be linked.  Each shape should be indicative of a specific stage in the process and there are conventions for each of these, the most common being the rectangular "Process" shape.  Many others exist, however, including shapes representing Data, Documents and Decisions.  Decision shapes are diamonds, each of the four corners (or nodes) being either a link from the preceding shape or action to be taken in the next stage depending on the decision.

Flowcharts can be quickly created in many computer software programs; even recent versions of Microsoft Word and PowerPoint contain Smart Shapes that allow users to rapidly insert a flowchart into a document of presentation.  Specialist Flowchart Diagramming  software also exists but for sheer versatility and the ability to connect data to shapes I would put my money on Microsoft Visio.  It has a huge range of ready-made stencils containing all the shapes you could possibly need (and the ability to create your own if you wish), and very slick automatic connection features.  Visio also allow a flowchart that dexcribes one process to become part of a larger process and to integrate with it via a hyperlink from a button on the drawing page.

Microsoft Office Themes can be applied to the drawing to give a uniform and more professional look, and different colour schemes can be applied to each page of the drawing to distinguish the various sub-processes for clarity.  For an example, see our FREE tutorials, resources and videos at www.visio-tutorial.com

The one phenomenon that has created revolution is information technology. It has not only enhanced the quality of life and provided systems that make work incredibly faster, but they have also developed new avenues for employment for people. One such vital and challenging work is that of a program analyst.

Functions of Program Analysts

As the name suggests, a program analyst particularly handles various computer programs. They are responsible for planning, developing, testing and documenting computer programs. For this, they need to apply specific programming techniques and computer systems.

Computer programs are an integral part of almost all spheres like financial management, human resource development, clinical research and operations functions. The programs are designed for specific tasks and for a specific purpose.

A program analyst ensures that the program delivers on its target objective and if the client wants it modified then studies the user request carefully to develop the program accordingly. Analysts are responsible for developing or modifying programs such that the operating efficiency increases significantly.

Developing this program is not easy and requires the analyst to scan technical manuals and reports in order to find ways and means to amend the program to suit user demands. Also, an analyst must first prepare a layout that details the exact procedure required to develop the program and then present it to the client for their approval.

Sometimes, finding the error in a program can be difficult. Thus, in such cases, the analyst is also required to follow the steps taken by the user to find out the error and rectify it accordingly.

This layout includes a series of diagrams and flowcharts that explain the steps involved in development of the program along with the logical progression of operations in the process. Their task also includes coding user requests and specifications into a computer programming language. These program codes are then entered into the computer system so that the analysts can run and test the program with the help of specific commands.

Testing the programs is yet another key task of program analysts before they can present the program before the user. While testing the program on the computer screen the analyst checks for any syntax or logical error. This can be done manually or with the help of diagnostic software.

Documenting is also a key responsibility of program analysts. They must compile every minute detail about program development steps, logic, coding and corrections. Their task also involves writing manuals that would simplify the installation and operating techniques for the benefit of the users.

It is important for the candidates to develop varied programs to add depth to their resumes. For fresh candidates, there are sample resumes that would assist them in preparing an effective program analyst resume.

Salary

On an average the remuneration for program analysts is about $60,000. However, this can vary according to the experience of the analyst, the industry in question and location. As the experience of the candidate increases, the salary too increases with the maximum package touching $104000.

A program analyst has become an inseparable part of software companies. Aspiring professionals must have a high degree of qualitative and quantitative analytical skills to develop efficient programs to improve the productivity.
